Notion helps me break down each goal, then I can move those tasks into Todoist for scheduling. I usually throw all the tasks into Todoist first, then go down the list and set due dates for them. Each of my Todoist projects is synced to a matching calendar (in GCal). Todoist is a to-do app; I tried setting up a to-do list in Notion but it just didn’t work for me. I like the reminders and natural language input and scheduling. Bear is like a scratch pad or digital composition book. Many users grapple with whether to use Notion for quick tasks and simple checklists, or stick to a minimal tool like Todoist. By adding Todoist to Notion, you can use both apps together, in a single place.
This is accomplished with Notion’s Embed block, which can display Todoist’s web app. Within a certain width, your lists will display just as you’d see them on a mobile device. The Neutral theme pairs particularly nicely with Notion.

Initial configuration can be a bit tricky, however. Here’s the method that works most smoothly across devices:
- Where you’d like to display Todoist within any Notion page, insert a new block and choose Embed.
- Paste Todoist’s sign-in URL:
https://todoist.com/users/showLogin
ChooseEmbed link. - On every device where you’ll view Todoist within Notion, sign in. Note that sign-in by Google will not work; you’ll need to use a password.
- On any device, change the embedded link to
https://todoist.com. To do so, click the top-right corner of the block and chooseReplace. - Resize and rearrange your blocks for the most usable and pleasing aesthetic.

Now I can finally say that I moved my life to Notion.
When I first started to use Notion I was amazed by how I can organised all my notes, tasks and wikis in one place. I felt so comfortable that I stop using services like Trello (for managing my yearly & monthly planning), Google Doc, Streak (as my personal CRM) and more. When Notion finally introduces the Web Clipper I enthusiastically deleted Evernote from my computer.
But one thing was still missing. The ability to capture tasks and notes quickly from anywhere.
Why?
While Notion kept me organised with my digital brain, it wasn't allowed me to capture a quick note from anywhere on my computer. Todoist was able to solve it elegantly with the 'Quick Add from Everywhere' feature. When your attention is focused on one platform, let's say PowerPoint, and suddenly a thought comes to your mind – instead of switching platform, you just hit 'Ctrl+Shift+A' and a small pop-up screen appears on your screen, allowing you to add task blazingly fast to the point you can avoid task-switching.
Notion Quick Add
I looked everywhere, from Reddit to Quora, and the official Notion community on Facebook. Nothing. I finally got lead from one of the key members of my community Supertools. I told him that I want to develop a 'Quick Add' feature for Notion. In 20 minutes he sent me a tutorial with the solution (thank you Tal Cherniak). I was able than to create a new application that allows Notion's power users to add tasks quickly from whatever they are. Want to know how? Let's start.

Add Todoist To Notion
I use Keyboard Maestro (Mac only) which allows me to create hot key triggers and automations. However, you can use any hot key management app for this workflow. The workflow is pretty straightforward – any time I hit 'Ctrl+Shift+A', the new app we create Notion Quick Add is triggered and popup to the center of the screen, where I can put my task / note directly to Notion, similar to the why the Notion Web Clipper works. Instead of saving an article or website, the app saves only the text you entered. I usually direct the task to 'Inbox' to start my GTD workflow.
*Make sure to select 'quit the application' if the application already at the front. It will allow you to hit 'Ctrl+Shift+A' again and close the app quickly.
